Policy
Last updated: September 9, 2026
This Privacy Policy explains how Photera Imaging collects, uses, stores, and protects personal information when individuals visit our website, request information, or engage us for remote photo processing and digital image editing services. It applies to website visitors, prospective clients, clients, and authorized representatives of business clients.
1. Information We Collect
We may collect contact and business information such as a name, email address, telephone number, business name, billing address, project role, and communication preferences. When a project is discussed or performed, we may receive project instructions, source-image information, delivery specifications, file names, references, deadlines, and correspondence. Payment processors may collect payment card or banking details; Photera Imaging generally receives confirmation and transaction information rather than complete payment credentials.
We may also collect limited technical information produced when the website is used, including IP address, device and browser type, referring page, pages viewed, approximate region, timestamps, cookie identifiers, and diagnostic information. This information may be provided by Shopify, hosting providers, analytics providers, security services, or similar service providers.
2. Image Files and Project Content
Source images and related project materials are processed only to evaluate, perform, quality-check, revise, and deliver the requested services; maintain reasonable backups; comply with law; and protect the security of our systems. Clients remain responsible for ensuring that they have the rights and permissions needed to provide image files and instructions to us. We do not use client images in a public portfolio, advertising, model training, or promotional material unless separate permission has been obtained.
3. How We Use Information
We use personal information to respond to requests, prepare estimates, confirm project scope, provide editing services, communicate about revisions and delivery, administer accounts and payments, maintain records, improve service reliability, prevent fraud or misuse, enforce agreements, and meet tax, accounting, and legal obligations. Where required, marketing communications are sent only with an appropriate basis and may be declined.
4. Legal Bases
Depending on the location of the individual, processing may be based on performance of a contract or steps requested before a contract, our legitimate interests in operating and securing the business, compliance with legal obligations, or consent. Where consent is the basis, it may be withdrawn prospectively.
5. Sharing and Service Providers
Information may be shared with service providers that support website hosting, file transfer, cloud storage, communication, payment processing, accounting, security, and professional advice. Providers receive only information reasonably necessary for their role and are expected to handle it under appropriate confidentiality and security terms. Information may also be disclosed when required by law, to protect rights or safety, in connection with a business transaction, or at the verified direction of the client.
6. Retention
We retain information only for as long as reasonably necessary for the purposes described here. Project files may be removed after delivery and any agreed revision period, subject to operational backups and legal retention duties. Business, invoice, tax, dispute, and contract records may be retained for the period required by applicable law or reasonably necessary to establish and defend legal claims.
7. Security
We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information, including access controls, reputable service providers, secure transfer options where agreed, and limited internal access. No internet transmission or storage system can be guaranteed completely secure. Clients should avoid sending unnecessary sensitive information and should use the agreed transfer channel for project files.
8. International Processing
Remote services and technology providers may involve processing in jurisdictions other than the individual’s location. Where required, appropriate transfer mechanisms or contractual protections are used. Privacy rights may vary by jurisdiction.
9. Your Choices and Rights
Depending on applicable law, individuals may request access, correction, deletion, restriction, portability, or information about disclosures; object to certain processing; or withdraw consent. We may need to verify identity and may retain information where permitted or required by law. Requests should describe the relevant relationship or project so that records can be located.
10. Children
Our services are not directed to children, and we do not knowingly collect personal information directly from children. Clients who submit images depicting minors are responsible for obtaining all required authorization and for avoiding unnecessary identifying information.
11. Cookies and Changes
Our Cookie Policy explains the website technologies that may be used. We may update this Privacy Policy when our practices, services, or legal requirements change. The date above identifies the current version; material changes will be communicated where required.
